Your classes
Ardere Diem is not involved in pricing for your classes. That is between you and your students. The only thing we will charge the instructor for is the cards. What you charge for your classes is entirely up to you. We generally like to know when you are doing a class, especially if it's an advanced class like PALS or ACLS. The Singing River Hospital Training Center wants us to monitor those on occasion, and we reserve the right to come by a class to observe or audit. Another reason is that we only keep a limited amount of the advanced cards in inventory, so we like to have those on hand when you teach them. When those cards are requested from the Training Center, it sometimes takes a week or more for me to receive them.

Again, we reserve the right to audit and attend any class you plan on teaching to monitor quality, time management, content, and Instructor conduct.

Every class should exemplify the highest standards and ideals of learning and instruction and should strive to make the learning environment open and welcoming to any and all students.

Rosters and Paperwork
We need a clear PDF (as one attachment) of the front and back of each roster. Please don't send in one page of your roster as one attachment and the back page as another. The roster needs to be filled out completely, front and back. If you have three rosters, please send the front and back as single scan and each scan as a separate attachment. This makes it easier to file them appropriately. The AHA Program Administration Manual (PAM) allows 6-8 students per instructor but we allow some “wiggle-room” for re-certifications. There can be NO MORE than 10 students on a roster or for a single instructor. It can be inconvenient, but if there are 11 students, you cannot “create” a blank at the bottom of the roster. You must fill out another roster.
Also, the only information that is needed for the roster is the correctly-spelled name, the email address, and the phone number.

Please do not put student's physical addresses on the rosters.

While students are present, look over the roster and verify that all the information is correct or anything that looks questionable is clarified. Make sure email extensions are correct and that hyphens are hyphens and underscores are underscores. It's easier to do that when students are present rather than after the fact. There is a fillable, online roster for each discipline downloadable on the "Forms" page. We need rosters no more than 3-5 days after a class. Per the PAM, you have 20 days to issue cards.

Card and Inventory
Once we have a roster, cards will be issued to you for YOU to then issue to your students. It is highly recommended that once you input all the names, emails, and phone numbers from the roster, PLEASE take a moment to check and double-check it for accuracy. This helps to catch minor errors in a name or an email before the card is issued, saving time later on the back end having to correct it after-the-fact. Cards can be issued for you in the event of a problem, but we prefer that you issue the cards from your Atlas account.
We keep a large stock of BLS cards and have those readily available. We keep some ACLS and PALS but do not keep very many of those or the Heartsaver cards. There are several different types of HS cards and, for some reason surpassing logic, they are twice as expensive as BLS cards.
They are the exact same electrons in a computer somewhere but apparently the Heartsaver electrons, as well as the ACLS and PALS electrons, are much more expensive electrons that BLS electrons.
We keep some of the Heartsaver First Aid/CPR/AED (also called Heartsaver Total) but not many. That's the Heartsaver that is issued the most but there are others. You need to be familiar with the different types of Heartsaver and the needs/requirements of your students and that of their employer. All of the Heartsaver cards are the same price.

Invoicing
Currently, we use online invoicing from Square and, unless it is previously arranged, send the Instructor the invoice for the cards. We do accept checks but will only issue cards once the check has cleared the banking process.
We do accept ACH transactions but that should be arranged ahead of time. If there is a PO process, we need to know that ahead of time. If there is any other arrangement (say, for example, a church or employer is paying for all the cards and are sending a check) we need to know that in advance. Any other arrangements other than sending the Instructor an invoice for the cards, We need to know and approve of that in advance. It's not usually a concern and we generally trust our instructors but hiccups happen.

It is highly recommend that you obtain payment from your students in advance because Ardere Diem will be sending the instructor an invoice for the cards.

The reason is simple: If you have a BLS class of 8, we will not send out 8 different invoices to 8 different people and try to keep up with when 8 different people has paid and who has not so we can send out a card here and there as the invoices clear. Now consider multiplying that over about 20-40 classes a month! We are not set up to track that. If there are any questions, We are always happy to help and work with you. Please note: we “generally” won't send out advanced cards or Heartsaver cards to the Instructor until the invoice is cleared.

Equipment
Most Instructors have access to their own equipment but we have some mannequins, supplies, and media that you can check out for a class. The standard equipment rental fee is $50.00.

Our mannequins are equipped with feedback devices per AHA standards and the AHA media is on USB drive. We do not have the CDs so please consider that when prepping your class presentations.
You have to arrange prior to the class for pick-up and return of the equipment.

The borrowing instructor takes full responsibility for the replacement value of the equipment .

Atlas
Ugh.. Our feelings on Atlas are WELL documented.
Atlas, in another instructor's words, is "a solution in search of a problem." The AHA site was easy to use and Atlas, for many, is just simply an exercise in frustration. It seems to be a never-ending "Easter Egg hunt" for information. On Atlas, you will issue cards, see your inventory, and do searches and corrections.

You will need to be familiar with the card-issuing process. It is actually fairly simple and straight-forward.
Unfortunately, we are stuck with Atlas and we have to use it. Like anything, once you use it enough, you learn to navigate it easily enough.
We can help you navigate it if you need assistance.

Your Certification
You need to maintain your certifications and your expiration dates. Set a reminder on your calendar, write some sticky notes, tattoo it on your left hand... whatever helps you remember when you expire.
If your card has expired and you teach a class, we cannot honor the roster and you can explain it to your students!
We don't keep a database of expiration dates and encourage all of you to put a reminder in your calendar or phone for a month before you expire. We can renew your certification BEFORE you expire, but NOT after. The system won't allow us to do that. Only the Training Center can and that takes some time and a whole lot of aggravation. It's simply a lot easier to handle it before you expire. Please keep up with your expiration dates. This is your responsibility.
